Who we are

Planily is a UK-built family operating system, operated by Planily Ltd, a private limited company registered in England and Wales.

Company name: Planily Ltd

Registered office: 7 Throwley Way, Sutton, England, SM1 4AF

Incorporated: 8 February 2026

Nature of business (SIC): 62012 - Business and domestic software development

For the purposes of UK GDPR, Planily Ltd is the Data Controller in respect of the personal information you provide to us.

Planily is intended for use by adults aged 18 or over, who act as the primary account holder for their household. Children may appear within a family profile or (from age 13) have a limited-access account, but always under the supervision and responsibility of an adult account holder.

Our promise: Planily was designed from the ground up by a cyber-security professional. Privacy and security are not features we added. They are the foundation we built on.

What we collect

We collect two types of information: what you choose to give us, and what is automatically generated when you use the service.

👤

Contact & Account Information

Full name, email address, telephone number (for WhatsApp integration), account credentials.

👨‍👩‍👧

Family Profile Data

Names and roles of family members, avatar colours, family ID, household structure including separated households.

📍

Location Data

Postcodes or towns for weather services. We do not track your location continuously and never connect to your GPS without explicit consent.

📅

Calendar & Schedule Data

Events, appointments, school timetables, activity plans, recurring routines, and task assignments.

🏫

School & Educational Data

School letters uploaded or forwarded by you, homework, school contact details, term dates. We never connect directly to your inbox.

🍽️

Meal Planning Data

Meal plans, dietary preferences and restrictions, recipes, shopping lists, and nutritional information where provided.

✅

Task & Routine Data

Task details, assigned family members, completion status, streaks, points awarded, routine steps.

📎

Uploaded Content

Documents, photos, or messages you upload (e.g. school letters, receipts). These may contain varied personal information depending on content.

💬

Communications Data

Messages, voice notes, documents and photos sent to the Planily WhatsApp Virtual Concierge or support team, including the natural language content of messages used to create calendar entries, tasks and reminders.

📆

Calendar Integration Data

Where you choose to connect Google Calendar or Microsoft Outlook, we process OAuth tokens and the specific calendar data needed to push Planily-generated events to your external calendar.

📊

Technical & Log Data

IP address, browser type and version, pages visited, duration of visits, device type, operating system, error reports.

Data about other people: Because Planily is built around households, the information you add may include personal data about other adults (co-parents, carers, teachers) as well as children. You are responsible for ensuring you have an appropriate basis to share that information with Planily.
3

Children's data

Planily is designed for families, which means children's information is central to how the service works. We apply heightened protections in line with the ICO's Children's Code (Age Appropriate Design Code) and UK GDPR.

Who can use Planily

  • Adults aged 18 or over are the primary account holders. Only an adult may create a Planily household.
  • Children under 13 do not have direct login accounts. They are represented within a parent or carer's family profile as named household members.
  • Young people aged 13 to 17 may be invited as limited-access family members. The adult account holder is responsible for supervising any such account.

Special category data: dietary and health information

Dietary restrictions, allergies, and food preferences that relate to a health condition constitute special category data under Article 9 of UK GDPR. Where you enter such information into Planily, we process it on the basis of your explicit consent, solely to personalise meal suggestions for your household. You may delete or update this information at any time from your account settings.

School documents

School documents and letters containing children's data are stored securely and retained for 7 days as an input log. After that, the original input is deleted. Structured data extracted from those documents (calendar entries, tasks) follows the retention rules in Section 10.

We never market to children or use their data for advertising of any kind. Children's data is never sold or shared with third parties beyond what is strictly necessary to deliver the Planily service.
4

AI & automated processing

Planily uses AI and natural language processing to reduce your family's admin burden. Here is exactly how it works:

Document & Email Parsing

When you upload a school letter or forward an email to your Planily address, our AI reads the content to extract dates, tasks, and events. The original document is stored securely; extracted data is added to your family plan for your review.

Voice Input (Say It Once)

Voice commands are processed to identify intent (event, task, meal, shopping) and extract relevant details. Voice recordings are not stored after processing.

Meal & Routine Suggestions

AI may suggest meals or routines based on your household's preferences and history. These are suggestions only. You are always in control of what is added to your plan.

WhatsApp Virtual Concierge

Planily includes a WhatsApp-based Virtual Concierge that allows you to manage your family plan through natural conversation. You can send text messages, voice notes, documents and photos directly to your Planily WhatsApp number, and the AI will handle the rest. Text messages and voice notes are processed by the AI and are not stored beyond what is needed to create the calendar or task entry. WhatsApp message content is never used for advertising or profiling.

Note: WhatsApp messages are transmitted via Meta's infrastructure. Please refer to Meta's Privacy Policy for information on how WhatsApp handles messages in transit.

Calendar Integration (Google and Outlook)

If you choose to connect Google Calendar or Microsoft Outlook, we only request the OAuth permissions needed to write Planily-generated events to a calendar you nominate, and to update or remove those events if you change them in Planily. We do not read or mine your pre-existing calendar entries for any other purpose. You can disconnect the integration at any time from your Planily settings.

AI Training

We do not use your family's documents, messages, or other personal content to train public or third-party AI models, and we do not permit our AI service providers to use your data for their own model training beyond what is strictly necessary to deliver the service to you.

No purely automated decisions. Planily does not make any decisions about you or your family that produce legal or similarly significant effects without human involvement. All AI outputs are suggestions or drafts that require your review and confirmation. You are never subject to solely automated decision-making under Article 22 UK GDPR.

We process certain data (such as anonymised usage analytics, error logging, and security monitoring) where we have a legitimate business interest that does not override your rights.

🏛️

Legal Obligation

In some cases we must retain data to comply with law. For example, financial records must be kept for 7 years under UK accounting rules.

Your rights

Under UK GDPR, you have eight rights over your personal data. To exercise any of them, contact our Data Protection Officer using the details in Section 14. We will respond within one calendar month and will not charge a fee for reasonable requests.

Right of Access (Subject Access Request)

You may request a copy of the personal data we hold about you. We will provide the information in a clear, portable format and may need to verify your identity first.

Right to Rectification

If any personal data we hold is inaccurate, out of date, or incomplete, you have the right to ask us to correct it.

Right to Erasure (Right to be Forgotten)

You have the right to ask us to delete your personal data in certain circumstances. This is not absolute: we can refuse erasure where we need data to comply with a legal obligation or defend a legal claim.

Right to Restriction of Processing

You have the right to ask us to pause (but not delete) the processing of your data, for example while you contest its accuracy.

Right to Object

You have the right to object to processing based on our legitimate interests (for example analytics) or to direct marketing.

Right to Lodge a Complaint

If you believe we have handled your personal data unlawfully, you have the right to lodge a complaint with the ICO at any time.

12

Security

We apply layered security controls, including encryption in transit and at rest, access controls, least-privilege roles for staff, secure development practices, continuous monitoring, and regular review of our suppliers.

No system is 100% secure. We recommend you use a strong, unique password and enable multi-factor authentication where available in Planily.

If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours and inform affected users without undue delay, as required under UK GDPR.

13

Changes to this policy

We may update this policy to reflect changes in our service, technology, or the law. When we make material changes, we will notify you by email or in-app message and update the "Last Updated" date at the top of this page.
